Managing the Boomathon roster and teams

Participants reach a Boomathon session in one of two ways, chosen when the session is created: they register themselves from the event's registration link, or you import a roster and they claim their seat from a claim link. This article covers importing, claiming, moving, renaming and removing participants, and how teams are formed and named.

Self-service sessions

  • Share the event's Registration link (on the event page). Participants enter their name, business email and nearest streaming region. See Boomathon participant guide.
  • Registration closes one hour before the start.
  • Teams are formed automatically 30 minutes before the start. Until then registrants appear as Unassigned on the host page, where you can assign them to teams yourself if you want to choose the split.
  • Each registration reserves one stream credit, so sign-ups stop when your credits run out. See Credits for Boomathon.

Roster sessions: importing names

Open the session drawer, choose the Roster tab and use Import Roster.

  1. Paste one participant name per line.
  2. Pick a streaming region for everyone with Region for all, or set each person's region individually. Every name needs a region.
  3. Click Import N rows.

Imported participants are split evenly across teams of up to 12 (16 people become two teams of 8), and their streams are set up straight away. The result line reads "Imported N ยท provisioned N", followed by any row errors ("Missing name", "Unknown region", "Session full").

Things to know:

  • Up to 500 rows per import, and never more than the session's maximum participants.
  • Import is all or nothing for credits. If your organisation cannot cover every participant plus each new team's facilitator seat, nothing is imported and the message tells you how many stream credits are needed.
  • If a stream fails to set up for someone, the message says "Stream set-up didn't complete for N participant(s). Use Retry on the host page; if it keeps failing, contact Jenson8 support."
  • The import form is disabled until a preset is chosen, and once the session has closed.

The Roster tab shows a Participant claim link with a Copy button. Send it to the group. Participants open it, search for their name and click Claim; no account is needed. The seat counter shows how many are "still to claim".

If someone claimed the wrong name, click Unclaim on that row to reset the seat. A seat cannot be unclaimed once that participant is connected to the game.

Moving, renaming and removing participants

In the Roster tab (and on the host page before the session goes live) each row offers:

  • Rename - click the name, type, and press Enter (Esc cancels).
  • Move to... / Assign to... - choose a team (full teams are greyed out) and click Move or Assign.
  • Remove (the cross) - confirm to take the person off the roster.

Moving keeps the seat. A participant keeps the same PIN and the same stream when moved between teams, so someone already streaming in the lobby is not interrupted and no extra stream credit is used. The one exception is a move between teams whose presets use different applications, which needs a new seat.

These actions are available while the session is Scheduled or its lobby is open. Once any round has started they are refused: "Cannot move players once a round has started."

After a move or removal, an amber warning may tell you that a team now has fewer players than its preset needs, for example "Team Otters has 3 players but the recipe needs 4 - its games will not be rostered." Rebalance before the start.

Teams and team names

  • Teams hold up to 12 participants.
  • New teams are given a random one-word name that is unique in the session, such as Otters, Falcons or Vipers.
  • Hosts can rename a team at any point: hover over the team name on the host page and click the pencil, type the new name and press Enter. Names are 1 to 40 characters and must be unique within the session.
  • Renaming a team also renames its streaming set and VR session in the Jenson8 Dashboard, where Boomathon sessions appear as "Event name - Team name - 14:00 BST".

Boomathon-managed sessions are read-only on the dashboard's Experience Sessions page. Make all changes in Boomathon.
